The AP team includes engineers, natural resource specialists, technical editors, drafters, and surveyors. The project assistant will help plan and organize projects in support of project managers, including marketing, communications, report preparation, correspondence, scheduling, accounting, and project delivery functions. The project assistant must have strong interpersonal relationship and organizational skills. The project assistant must be capable of managing a variety of tasks received from multiple people and seek prioritization assistance when needed. • Coordinate internal and external project team meetings • Assist with preparing and maintaining project delivery schedules • Help determine and track internal and external workforce needs for projects • Assist with completing and reviewing project reports • Assist in preparing agreements and scopes of work for upcoming projects • Coordinate milestone deliverables with clients • Coordinate with subconsultants to track their deliverables • Prepare project meeting agendas and summaries • Track and coordinate project team review of Submittals, Requests for Information, Applications for Payment, and other documents during construction • Assist with project closeout • Assist with preparing internal monthly progress reports • Perform first review of billing reviews and invoices to clients • Perform first review of subconsultant/vendor invoices and send communicate revisions • Assist the Marketing Group in updating marketing software with project information • Type, and edit various company documents using Microsoft Word, Excel, Adobe Acrobat, and other miscellaneous business software
• Bachelor’s degree (preferred) from an accredited institution in business, marketing, communications, engineering, construction management, or related major • Five years of relevant experience showing increased levels of responsibility • High proficiency using Microsoft Word, Excel, and Adobe Acrobat, producing charts in Excel, and compiling and manipulating PDF files • Experience using SharePoint (preferred) • Able to work independently and prioritize work • Able to maintain confidentiality • Valid driver's license
